The Madison Club is seeking an Events Coordinator to join the Events Department. This role is designed for an energetic and organized individual to oversee the operational aspects of successful event experiences. The coordinator is responsible for managing equipment, maintaining the integrity, quality, and conditions of event production, and efficiently assisting with the creation of memorable experiences for our membership and guests.
Responsibilities
- Administer the set-up and tear-down of events per the specifications outlined by the BEO (Banquet Event Order).
- Actively engage with team, members, and management to produce an efficiently run operation that meets the highest standards of customer service.
- Maintain organization and perform preventive maintenance on all equipment and décor.
- Aid with prop fabrication and equipment assembly as directed.
- Report on damaged equipment and prioritize repairs accordingly.
- Collect, relocate, and return equipment and supplies according to daily requirements.
- Order and/or retrieve supplies under the direction of management.
- Assist in the cleanliness and inventory control of surrounding work areas.
- Promptly informs immediate supervisor(s) of concerns or matters of significance to prevent potential challenges.
- Minimize safety hazards.
- Additional duties as assigned.
Requirements
- The minimum education requirement is a high school completion certificate, and an associate’s degree is beneficial.
- Prior experience in the hospitality or customer service field is beneficial.
- Must have a valid driver’s license and reliable transportation.
- Ability to stand or sit for prolonged hours at a time.
- Ability to engage in physically active work, including but not limited to lifting up to 50 pounds, pushing, pulling, or otherwise moving objects.
- General computer and office equipment knowledge.
- Pursues their work with energy, drive, and enthusiasm.
- Performs all duties and responsibilities in a timely and efficient manner, with a willingness to contribute to various departments as needed.
- Maintains a favorable working relationship with all other associates.
- Communicates with team members and vendors timely and respectfully.
- Handles difficult situations effectively.
- Positive attitude, professional demeanor, and exceptional communication and interpersonal skills to deliver service to members, guests, and team members.
- Must be able to work flexible work hours/schedule, including evenings, weekends, and holidays. Long hours may be required due to business demands.
- Ability to work in a team environment.
- Ability to stay calm and focused during the busiest of times.
- Ability to read, write, speak, and understand English; additional languages preferred.
- Ability to meet the physical demands of the position including, but not limited to, working indoors and outdoors in all weather conditions, standing, walking, and moving for periods of greater than eight (8) hours, and lifting and carrying items sometimes greater than fifty (50) pounds.
