The Event Manager is the central figure responsible for the successful planning, coordination, and execution of all allocated events. This role involves overseeing client and concession relationships, managing all logistical requirements, ensuring compliance with health and safety standards, and leading a team to deliver exceptional event experiences. The Event Manager collaborates cross-functionally to maximise profitability, operational efficiency, and customer satisfaction.

Responsibilities

  • Client & Concession Management- Develop and maintain strong client relationships by understanding their needs, managing expectations, and proactively communicating event details and opportunities.
  • Manage concession partnerships, coordinating with subcontractors and suppliers on product offerings, pricing, and operational logistics.
  • Collaborate closely with internal teams to optimise product listings, pricing, branding, and financial accuracy.
  • Oversee sales order processing and fulfilment, ensuring first-class customer service, accurate recording of data and takings, and maximising sales opportunities.
  • Assist with credit control by resolving payment issues and ensuring timely collection from clients and subcontractors.
  • Provide comprehensive information packs to subcontractors detailing anticipated attendance, logistical constraints, retail tariffs, and access passes.
  • Event & Operational Management- Plan, book, and coordinate all logistical requirements for events, including transportation of staff, generator and equipment hire, and site facilities.
  • Oversee stock management: ensure proper storage, handling, and transportation in compliance with company procedures, food hygiene legislation, and health and safety guidelines.
  • Conduct regular stock takes, manage stock rotation, and optimise order fulfilment to minimise waste.
  • Monitor event setup and breakdown, ensuring sites are clean, equipment is returned, waste is disposed of according to regulations, vehicles are maintained and secured, and all cash and reports are accurately processed and submitted.
  • Ensure all front-of-house and back-of-house activities comply with client policies, health & safety, and food hygiene standards.
  • Conduct detailed event planning including P&L forecasting, subcontractor allocation, staffing, logistics, and health & safety preparations.
  • Provide clear, detailed briefings to teams prior to events to ensure full understanding of objectives, standards, and operational plans.
  • Lead, supervise, and support the event team’s performance by monitoring, coaching, guiding, and addressing performance issues in coordination with the Events Senior Leadership and F&B HR Business Partner.
  • Oversee team welfare at all times — ensuring safe transport, appropriate accommodation, adequate breaks, and respectful treatment both on and off site.
  • Conduct regular visual checks on hired vehicles to ensure roadworthiness and compliance with company and legal requirements, reporting and escalating any issues promptly.
  • Promote a positive company image at all times, adhering to company policies and standards during travel and accommodation.
  • Support the company-wide sustainability strategy by identifying and implementing environmentally responsible practices in event operations.
  • Additional Duties- Perform any other duties necessary for the smooth running of the business.

Requirements

  • Essential- Proven experience in event management, hospitality operations, or a similar operational leadership role.
  • Strong organisational and project-management skills with the ability to manage multiple events simultaneously.
  • Excellent communication and relationship-building skills, with experience managing clients, subcontractors, and cross-functional teams.
  • Demonstrated ability to lead, motivate, and support teams in fast-paced, high-pressure environments.
  • Solid understanding of health & safety, food safety, and compliance requirements relevant to event or catering operations.
  • Competence in planning and managing event budgets, including forecasting, cost control, and P&L awareness.
  • Strong analytical and problem-solving skills with the ability to adapt quickly to operational challenges.
  • High level of accuracy and attention to detail, particularly in data recording, financial reporting, and stock control.
  • Ability to travel frequently and work flexible hours, including evenings, weekends, and extended periods away when required.
  • Full UK driving licence (preferably clean) and confidence in driving commercial vehicles as required.

Nice to have

  • Desirable- Experience managing concessions, subcontractors, or supplier relationships within events, retail, or hospitality environments.
  • Formal training or certification in event management, health & safety (e.g., IOSH/NEBOSH), or food hygiene (e.g., Level 3).
  • Experience with stock management systems, event-planning software, or CRM tools.
  • Knowledge of sustainability practices and experience implementing environmentally responsible operational processes.
  • Previous experience working at outdoor events, large-scale festivals, sporting events, or multi-day deployments.
  • Experience supervising dispersed teams across multiple sites.
  • First aid certification.
