The Event Operations Assistant is a full-time position responsible for the administration and coordination of the event conversion calendar, assisting in the day-to-day operational flow of the events department amid the execution of large-scale public, internal, and private events on the SoFi Stadium and Hollywood Park campus. This role works closely with internal and external clients and partners to ensure seamless communication and booking of the conversion calendar, and also provides administrative support to leadership, including scheduling, project management, and correspondence.
Responsibilities
- Calendar Management:
- Administer and maintain the event calendar, ensuring all event inquiries and confirmed bookings are accurately logged and communicated across departments.
- Maintain constant communication regarding the event calendar with programming staff to ensure that all event operations and conversion needs are coordinated into the schedule.
- Develop and implement standardized procedures for booking and scheduling to improve efficiency and reduce errors.
- Department Assistant:
- Ability to prioritize multiple work activities within a highly dynamic, high pressure environment.
- Assist Leader with the day-to-day activities, including: scheduling, prioritizing time commitments, project management, research and communications.
- Curate calendar of senior leadership and schedule meeting/calls based on priority.
- Manage external correspondence on behalf of the leadership in a timely and professional manner.
- Complete projects and special assignments by establishing objectives, determining priorities and facilitating cooperation of others.
- Coordination of travel and guest arrangements.
- Create, edit and proof-read communications on behalf of leadership.
- Assist in researching, budgeting and financing for special projects as specified
- Research and support new initiatives.
- Proven ability to conduct research and manage projects and documents.
- Acts as point of contact between leadership, clients, employees and guests.
Requirements
- Bachelor’s degree or an equivalent combination of education and professional experience.
- Enthusiastic and team-oriented, bringing a positive attitude, a willingness to pitch in wherever needed, and a deep love for sports and live events.
- Highly organized and detail-oriented, possessing strong time-management skills to effectively handle daily administrative tasks in a fast-paced environment.
- Strong communicator with excellent verbal and written skills, and the confidence to interact professionally with all levels of the organization.
- Trustworthy and discreet, with the proven ability to adhere to the strictest level of confidentiality at all times.
- Intermediate proficiency in Google Workspace and Microsoft Office, demonstrating the ability to independently:
- Manage daily email correspondence and complex calendar scheduling using folders, filters, and inbox rules (Outlook / Gmail).
- Produce polished, professional documents and slide decks utilizing built-in templates, styles, and formatting tools (Word / Google Docs, PowerPoint / Google Slides).
- Organize, filter, and analyze basic data using standard formulas and pivot tables (Excel / Google Sheets).
- Must have a flexible schedule you will be required to work nights, weekends, and holidays to support live events.
