The Events Coordinator – Entertainment & AV at Revelstoke Mountain Resort will collaborate with the Events Manager to plan and execute on-mountain events, focusing on the après music program and base area entertainment. Responsibilities include managing event logistics, coordinating with vendors and talent, overseeing the outdoor LED screen programming, and handling production requirements. The role involves working with internal departments to ensure seamless event operations and delivering excellent guest experiences.
Responsibilities
- Collaborate with the Events Manager to develop event plans, ensuring all details are carefully considered and executed.
- Assist with event administration, including managing event logistics, coordinating vendor relationships, and maintaining accurate records and documentation
- Oversee the resort's entertainment programming, including scheduling DJs and live musicians; managing artist communications, contracts, invoices, and hospitality; and serving as the primary point of contact for talent.
- Coordinate programming and content scheduling for the outdoor LED screen, including live sports broadcasts, films, promotional content, and special event programming. Manage day-to-day screen operation and playback, troubleshoot basic technical issues, and coordinate with external vendors when additional technical support is required.
- Coordinate entertainment production requirements, including artist technical riders, stage layouts, equipment needs, and production schedules. Liaise with sound technicians and production vendors to ensure successful event delivery.
- Work closely with various internal departments to ensure seamless event operations, such as coordinating with the Food and Beverage team for catering and the Marketing team for promotional materials.
- Support other on-mountain events as requested by the Events Manager.
- Support the Events Manager in managing event budgets, tracking expenses, and ensuring efficient use of resources
- Oversee on-site event execution, addressing any issues that may arise and ensuring a smooth and memorable experience for event attendees.
- Assist in post-event evaluation, collecting feedback, analyzing data, and identifying areas for improvement.
- Deliver the highest level of guest service by providing a welcoming, responsive, and positive experience to all guests.
Requirements
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Excellent communication and interpersonal skills to work collaboratively with team members, volunteers, vendors, and event attendees.
- Problem-solving abilities and the capacity to adapt to changing circumstances during event planning and execution.
- Proficient computer skills, including knowledge of event management software and Microsoft Office Suite.
- A passion for and connection with the local music scene, the ability to identify performers who would resonate with resort audiences.
- Previous experience with live event production, audio-visual equipment, or entertainment technology is preferred.
- Previous experience in event coordination or related roles is preferred.
- This position may require work on evenings and weekends, depending on event schedules.
- Physical stamina to handle on-site event setup and coordination.
- The ability to lift and carry event materials and equipment as needed.
- Proficient skier or snowboarder, able to confidently move around the mountain in a variety of terrain and conditions
