The Senior Events Specialist will provide comprehensive operational and logistical support for ServiceTitan's annual user conference, Pantheon. Reporting to the Events Manager, this role owns the sponsorship program, internal booth strategy, and the expo hall experience, ensuring flawless execution of key operational pillars. The specialist will manage sponsor relationships, coordinate with cross-functional teams, and oversee on-site operations to deliver a high-impact, revenue-driving event at scale.
Responsibilities
- Collaborate with the Business Development team to develop and refine the sponsorship prospectus for Pantheon
- Support the Business Development team in the active selling of sponsorship packages and booths
- Partner with the expo hall production team on booth design, layout, and logistics
- Own the sponsor-facing website experience, including managing sponsorship SKUs and all related web updates
- Track and manage sponsorship revenue, ensuring accurate and up-to-date financial reporting
- Serve as the primary liaison between sponsors/partners and the organization, responding to inquiries and resolving issues in a timely manner
- Manage the planning and execution of large-scale sponsored events
- Act as the on-site point of contact for all sponsor needs during events
- Partner with the Audience Lead team to define and capture booth requirements for Pantheon, ensuring the booth design supports ServiceTitan's ROI goals.
- Work with internal Customer Programs teams to identify their specific booth needs and objectives for Pantheon
- Coordinate with Customer Success to define requirements for the Solution Center presence at Pantheon
- Own the development of the overall expo floor strategy and layout (100,000+ sq ft), including booth placements, traffic flow, premium zones, and sponsor positioning, in partnership with leadership and cross-functional teams
- Design and curate a dynamic expo experience that extends beyond booths, incorporating lounges, activations, stages, and networking spaces to enhance attendee engagement
- Lead the vision and execution of the turnkey booth program, defining design standards and ensuring a cohesive, elevated sponsor experience
- Serve as the primary owner of the exhibit house relationship, managing all aspects of production, fabrication, and execution from planning through on-site delivery
- Partner closely with the internal creative team to translate strategic goals into clear creative direction and bring the expo vision to life
- Act as the central point of contact between internal stakeholders, sponsors, and vendors, ensuring seamless coordination throughout planning and execution
- Oversee on-site expo operations, including move-in/move-out, booth setup coordination, and real-time issue resolution
- Ensure sponsor compliance with all booth specifications, deadlines, and operational requirements, maintaining a high standard of quality across the expo hall
- Contribute to additional Pantheon workstreams and special projects as needed, operating as a flexible, high-impact team member supporting overall event execution beyond core ownership areas
Requirements
- Experience: 5-7 years of direct experience in event management, specifically working on large-scale user conferences of 5,000+ attendees.
- Platform Expertise: Required proficiency and hands-on experience with Cvent (including website builder, registration logic, and reporting).
- Financial & Procurement Acumen: Proven ability to manage a high volume of vendor invoices, track expenses, and navigate corporate procurement processes accurately.
- Soft Skills: Collaborative team-player with a strong customer-service mindset and high energy.
- Communication: Exceptional written communication skills, capable of managing external sponsor expectations and internal employee queries.
- Attention to Detail: Meticulous attention to detail and a disciplined approach to managing multiple, complex tasks simultaneously.
- Comfortable Operating: Self-motivated and confident in taking ownership of responsibilities within a fast-paced environment.
- Flexibility: Willingness to travel to and provide comprehensive on-site support for Pantheon
- Hands-on experience: Working with exhibit houses and managing large-scale expo floor builds, including booth design coordination and on-site execution
