The Events Coordinator / Second Shift will assist with all aspects of events at the University of Bridgeport, including planning and coordination with the event team for all event functions and conferences. This role involves coordinating with internal and external clients, managing event logistics, maintaining records and schedules, and providing on-site support during events. The position requires working Wednesdays through Sundays from 2pm to 10pm.
Responsibilities
- Assist in event coordination with internal and external clients on campus.
- Assists in maintaining records, schedules, billing, filing and event production inventory.
- Assist event team with contracts for external organizations.
- Communicate with our internal vendors (security, A/V, housekeeping) to provide services for incoming clients.
- Manage contract folders and invoice tracking for balances due and forwarding the incoming payments up to accounts receivable.
- Assist in booking events in our 25Live Events platform to prevent double bookings and assist with promotion of internal events.
- Assist in HubSpot updates.
- Provide on-site hands-on assistance and catering support during events.
- Maintain gallery calendar and assist with gallery social media promotion.
- Coordinate logistics with artists and owners regarding the delivery, storage and safe return of their artwork upon the close of exhibitions.
- Shift includes Wednesdays through Sundays 2pm – 10pm.
- Performs similar or related work as required, directed or as situation dictates.
- Assists event team in large events as needed to promote a team effort.
Requirements
- Bachelor’s Degree in a related field preferred or equivalent experience required
- 1-2+ years of experience
- Computer experience with Microsoft Word, Excel, and Power Point
- Ability to multi-task in a fast-paced, high-energy environment
- Ability to stand/walk for long periods of time.
- Effective organizational, oral/written communication, client management and project management skills
- Ability to work both independently and as part of a team
- Must be flexible, energetic, diplomatic, detail oriented, and able to work independently
- The incumbent should be self-motivated and comfortable in taking initiative
- Ability to lift and move set-up and event décor and materials as required
- Able to meet and anticipate deadlines
- Must be flexible and adaptable to change
- CT Driver’s license and insured vehicle
