Cluster Groups, Conference and Events Coordinator

As a Cluster Groups, Conference and Events (GCE) Coordinator, you will provide administrative control and support processes for the hotel, including commission handling, billing, purchase orders, reporting, auditing, e-commerce activities, and general administrative tasks. You will also help deliver memorable experiences that enhance every guest's stay. Your typical day involves ensuring strong financial management for commission processes, liaising with sales and reservation teams, preparing month-end accruals, and handling client enquiries regarding billing and commission. You will also manage office stationery, audit administration, Birchstreet purchase orders, and client giveaway items.

Responsibilities

• Ensure strong financial management and maintain robust controls for Commission Processes.
• Liaise with the C&E Sales and Reservation teams to monitor and control the accuracy of data recorded
• in Delphi.
• Delphi reports – as directed by GCE Director or Cluster Commercial Director.
• Ensure Property Management System is current and accurate for Commissionable Rates.
• Prepare Month end accruals for the accurate provision of Unpaid Commission.
• Deal with all incoming enquiries and correspondences of from clients, guests, companies and/or agents
• in regards to their billing/commission, whilst following established company and hotel policies.
• Office Stationary tracking and ordering.
• Look after various audit administrations, such as QA, Health & Safety, etc.
• Birchstreet Handling (e.g. Purchase Orders).
• Client Giveaway Items & Merchandise Handling (e.g. ordering stock, liaising with relevant departments,
• updating tracker)
• Maintain a high level of product knowledge about the hotel and local area.
